Design of Invoices, Estimates, and Related Documents
We have redesigned the templates for transaction documents such as invoice, estimate, delivery note, receipt, purchase order, and cover letter for AEDI.
Since the introduction of the invoicing system in Japan last October and with our company’s fiscal year ending in December, the past few months have involved scanning and downloading invoices, receipts, etc., more frequently than before, gaining a deeper understanding by closely observing the received documents.
While there is no issue with conveying information in the spreadsheets we currently use, created in Excel, the desire for a more polished and professional appearance, especially when dealing with documents from overseas, led me to create designs using Adobe Illustrator.
The design focuses on providing a unified brand identity across all transaction documents, ensuring a simple and clear design for each individual document. The upper-left half of each document contains dynamic information like dates and numbers, while the upper-right half displays fixed information. The itemized section is flexible, allowing for the inclusion of up to two lines of descriptive text beneath each item.

To implement this Illustrator design into a spreadsheet (Excel data), we plan to convert the fixed information into a PDF and insert it into the spreadsheet, while creating the dynamic information in Excel. For now, we’ll continue using the Illustrator design and prioritize creating transaction documents in English over converting them into spreadsheets.

If there’s anything that might be printed, be sure to print it out. While almost everything can be designed on the monitor/screen these days, actually printing it out reveals details that may go unnoticed on the screen, such as color, font size and thickness, and the overall balance.
